The little known Office Application that I couldn’t live without… OneNote.

image If you ever look at my task bar an hour into a business workday, you would see no less than ten applications running but the one that seems to gain the most attention thru out the day is OneNote. If you are a student or someone that does a lot of research, this program should be one of the main tools in your software arsenal. This program is one of the hardest to describe applications in the office program group yet one of the easiest to use. Microsoft describes it as an electronic notebook, but is so much more than that. If you have ever seen a college wire bound notebook that has multiple tabs built into it this is the first recognizable visual that you can use. It is so much more than that though. Not only can you type into it, you can also save images, hyperlinks, sound files from meetings and drawings that you may create on your touch screen or drawing tablet. In this review segment I just want to limit myself to discussing the basic structure of the notebooks so that you can understand how they might be used for you with your OneNote Notebooks.

OneNote can be purchased separately or is part of the suite in Office Home and Student, Office Ultimate Suite or Enterprise Editions. If you are a college student this package is available for a substantial discount and if you have a tablet PC, take a look, it may have been part of the package!

The key to understanding this package is understanding its hierarchical structure. In real life you would start with a physical notebook. The same concept works here as well. When you have the system create a notebook for you, you are creating a file folder to hold your information on the system. You can put this folder on any drive. The reason this is important is because you can place a notebook that is shared by multiple people if you place the notebook in a shared data location, like your server, NAS drive or like me, I placed one in a cloud drive on my Jungle Disk network drive that is now available to me from all my computers both at home and at work. There is no realistic limits to the number of separate notebooks, however, the more you have the harder it is to remember where to go when you want to add more information. The system is able to search through all of your active notebooks using keyword searches.

image The next notebook level is called a section. The section is just like the physical tabs that you find in college ring binders. This allows you separate topics of information from each other. Each section can have subsections to further consolidate information and each subsection can further be divided into subsections. If you wish to create a subsection that contains other subsections you will need to first create a section group. A subsection group can contain both regular sections as well other section groups. Use your imagination to come up with a structure that works for you. You also have the ability to create a password for a section to protect it from unauthorized access.

imageThe next level is the individual pages that your create in your sections. You can have as many pages as you want to within a section. The last level is the subpage which allows you to separate pages but keep them grouped together. This too has now realistic limit as well.

It is easy to move sections and pages from one area to another so don’t be worried about structure too much, it can be a living ever changing structure. I know mine is. I’ll write more on this OneNote  functions and the many uses that you can apply to it in future posts. The main thing I wanted to do is make you aware of this wonderful often over looked product from Microsoft.

Scott asked me how I get my images aligned in the blog pages.

image Well, it’s easy when you have the right tools. I have mentioned my using Live Writer in previous post before. You can find this free program and a few others at: http://download.live.com/. You can pick and choose which applications that you want to include in your download and have them available on your local system. These programs hybrid programs that give you local access to your data/documents and also have an interface to push them to the internet as well. There are ten programs/utilities/add-on’s in all.

The first group have to do with communication. They include the new Messenger and Mail client for instant messaging and email. There is also an Outlook Connector for linking your hotmail account back to Outlook. Next, is Writer witch is a great blogging tool. I have mine setup to publish to 6 different sites. It makes it real simple to do so once you have it set up. I have a deep interest with photography and the next two applications deal with that. Use Photo Gallery and Movie Maker to edit and organize your photos and movies, and then post them online or send them to friends. The next few add-on deal with accessing info with your web browser. With the Toolbar you can customize your browser and find what you need. Family Safety provides access control to protect your family from unseemly sites. Microsoft Silverlight provides Microsoft’s version of Flash and video presentation programming to your system from the Internet.

So Scott, here are some of my favorite programs that you may be able to take advantage of.

Microsoft to offer Family Pack for Windows 7 Home Premium | Ed Bott’s Microsoft Report | ZDNet.com

imageEd Bott is reporting that there is some mention in the EULA agreement for Windows 7 Home Premium that suggests that there might be a Family pack available in the near future. I haven’t seen anything else in our manufacturer releases yet that would confirm this so I sitting back and waiting patiently to see how it pans out.  It would be nice to have that as a choice for families that want to upgrade their equipment.

So you miss Office 2003 Menu Bars

We had a recent request for how to make Word 2007 look like Word 2003…

Though I truly believe that the new interface in Office is so much better than what we had in Office 2003, some people have had a hard time with learning the new versions Office products.

From Steve Bass’s Tips and Tweaks:

Make The Change To Office 2003
If you're stuck with Office 2007, yet yearning for the familiar menu of Office 2003, you now have an option. It's an add-in from Addintools: Classic Menu for Office 2007. It changes the menus for Word, Excel, Access, Outlook, and PowerPoint. The downside is that at $30, it's fairly expensive. However, you can pick up individual add-ins, say, just for Word, for $16.

Microsoft Office 2007 Compatibility Pack

image We are constantly being asked by our customers if they need to upgrade to Office 2007 and the real answer to this is not cut and dried. Now that Office 2007 has been in circulation for quite awhile now so the problem that many people who have not upgraded is the inability to read or edit the new Office 2007 XML file format. One way to solve this problem is of course to purchase the upgrade but in many cases all you really need to do is install the Office Compatibility Pack so that you view and work with the newer Microsoft document file formats saved in XML.

Be sure to run all your updates to your system before installing this add in. Read the instructions and  Systems Requirements before you install. Even though it is pretty straight forward you do need to pay attention to the prep work that needs to be done.

New Windows Live Features!

If you are trying to keep up with the cloud computing onslaught, Microsoft has just release a new product updates that enhance your web interaction dramatically. If you are a media producer, photos, video, or written content, then you will love some of the new interaction within Microsoft’s Live programs. The new download is available for updating your current applications at: http://download.live.com/. I had originally heard about this new update on Windows Weekly, and finally this morning I decided to load it up and give it a little whirl.2008-10-11_0754

They've added some functions for photos and movies in photo gallery and moviemaker. This new moviemaker program is not as extensive as the version that comes with Vista Home Premium and Vista Ultimate, but the one feature that I do like is its ability to post directly to Microsoft MSN’s Soapbox site. When you tell it to publish all of the information that you need to enter to publish it is presented for you to fill out in a nice dialog box and it very quickly and easily converts in uploads your video content to the site. Once it is there it is very easy to attach the video to your blog and voila! you have your presentation ready and available for all of your readers. Believe me, this is much simpler than the convoluted process you had to go through before. It also appears that if you are using Windows Live Writer, and you use the insert video function, this will also allow you to post the video up to Soapbox or YouTube. You can also connect directly to either your YouTube or Soapbox account to connect videos that you have already uploaded to the site's.

I use Windows Live Writer for creating and posting all of my blog entries no matter which site I'm currently posting to. We have added quite a few new features including an edit, preview, source tabs at the bottom of the screen too quickly change your view of the blog you are currently editing. You can turn on word count so that you can get a handle on how verbose you are as you are writing. There are quite a few more features included in the options tool that allows you to control your experience with the application as well.

There is a new toolbar add-on into Internet Explorer that gives you direct access to your Windows Live applications. This gives you direct access to your mail photos and calendar sites as well as quick search, mapping and translation buttons. There are new versions of Messenger and Mail which are quite interesting as well if you use these programs. It's worth a look, and these programs are all free. Can't beat the price!

I Can't work this way!

September 26

I Can't work this way!

I heard imagea scream from the adjoining office. What is that. I can't work with this in the way!

The image I have inserted at the right shows Jude's frustration with Microsoft's need to hold your hand in sometimes the most annoying ways. While the Paste Options Button can be helpful at times to control the format of the information that you are pasting, it can seem to get in your way when you are trying to see the underlying cells. If you want to turn off the Paste and/or Insert Options Button features it is very easy.

imageClick on the Office Button, then click on EXCEL OPTIONS button. Pick ADVANCED and then scroll down until you see the CUT, COPY and PASTE section. You will see three check box options. The first two when checked will display the options button you see to the right when you copy and paste. To turn it off, you will need to uncheck these boxes. Be sure to click on the OK button to save your changes.

To turn this option back on all you have to do is go back into the advanced options and recheck those options.

Here's a quick video  to show you to do it.

Power Tip: Launch Apps Quickly!

One of the things I like about Vista is the search function that allows you to quickly find an application that you can launch by quickly typing in a few characters found in the applications name. This works real well from the search function. You also have the ability to launch the RUN command dialog by holding down the Windows Key and pressing "R". Type in your command to launch and Voila. up pops your program if you typed it in correctly. In fact, you can drill down through your directories very quickly by typing in your starting point and let Vista prompt you for the directories that are on your machine. I put together a quick How to Series Video that you can see the Windows Key + Search function in operation.

Woops! Found a little problem with Carbonite...

We did a new installation on my machine with some of Adobe's graphics programs and we found out that Carbonate Backup caused a problem with installing CS3 on my notebook. It was becoming a problem because I planned on working with a lot of the applications this next week while I am off. Yes I am strange and find a lot of comfort in working on projects involving different programs and applications. I am truly looking forward to spending some time learning some new applications. Anyway, I started talking about how Carbonite caused a problem installing Adobe's CS2 Suite applications on my notebook. Once we uninstalled Carbonite the programs loaded without a problem. I haven't tried reinstalling the Carbonite program to see if the problem persisted yet. More later as we work with this.

Up and Coming - Microsoft's Hyper-V for Windows Server 2008

Last Wednesday's release candidate is termed a Feature-Complete Beta of its Hyper-V virtualization technology, which is an add-on to Windows Server 2008.  A release candidate is a final beta before the code is considered finished.  Microsoft said it was on track to ship Hyper-V by August. The code is available on Microsoft's Web site.

In this newest beta, Microsoft has added support for new guest operating systems that can run on top of Hyper-V: Windows Server 2003 SP2, Novell SUSE Linux Enterprise Server 10 SP1, Windows Vista SP1 (x86), and Windows XP SP3 (x86).

The company also said users can install the Hyper-V Manager snap-in to the Microsoft Management Console on Vista SP1 (x86 and x64). The snap-in allows for remote management of Hyper-V.

Jeff Woolsey, senior program manager on the Microsoft virtualization team, says the three most common roles virtualized among early adopters are IIS, application server and Terminal Services, and that the four most deployed Microsoft applications are SQL Server 2005 and 2008, Exchange Server and Forefront. He said more than half are running an antivirus/security application, nearly 50% are running a backup appliance, and approximately 75% are running Hyper-V with some attached storage.

On another note, Microsoft acquired desktop virtualization vendor Kidaro. Kidaro offers management technology aimed at making it easier for enterprises to deploy, use and manage virtual PCs. The platform comprises several components including a client that handles encryption and firewall security and integrates the virtual machine applications into the end-user computer. The management server assigns configurations and security policies for users and compiles information about clients for monitoring and auditing.

Microsoft expects that the software will help accelerate migration to Windows Vista because it can minimize compatibility issues between applications and the OS. In addition, the software makes the use of virtualization less noticeable to end users, which should also speed adoption, Microsoft said.

Camtasia Studio - Create Your Own Presentations

I have been working with the Camtasia Studio product for a month now and I am so thoroughly impressed with it's capabilities. This is a great product for anyone who needs to either present their company or product lines or  needs to provide training materials for their employees or for clients.

With Camtasia Studio, anyone can easily record and edit high-quality screen videos to share on the Web, CD, and mobile devices. You can use Camtasia Studio to create and share:

  • Training videos
  • Tech support tutorials
  • PowerPoint presentations
  • Sales demos
  • Screencast

It took only minutes to get a feel for how easy this program works to give you professional quality presentations in most of the formats that you would possibly want to publish in. You will see more and more projects from my desktop becoming available in the next few months as we continue to produce new content on our Product Solutions Showcase.

Look for demonstrations on equipment, programs and gadgets that may interest you. As always, we are open for suggestions for content that you might be interested in.

Crash! You never think it can happen to you...

This past weekend I have some strange things occur with my system that I attributed to some Microsoft updates that had come down from on high, but as it turns out it probably was my hard drive failing.  On Tuesday it finally gave up the ghost, and totally crapped out.  Over the last few days I have let the guys try to resurrect my drive but to no avail.  So I've been working with my desktop from home running completely within terminal server and it really hasn't been a bad experience except that I'm down to one monitor now instead of two.  Using terminal server, I don't see how I can have two monitors up and running to show me two sessions at once.

Once again the new drive installed an up and running it will be hard to run might primary applications for research in communicating with my customers on the machine and still run terminal server for all my legacy applications.  That really seemed to work very well and I kept the speed up the cause I had fewer applications running locally and within the terminal server window I was using the memory from the server rather than on my local machine.  It's just like having two computers on my desk which helps me to expand my capabilities and increase the responsiveness of both systems.  So next week I'll run it through that scenario and I'll report back on how well it works.

Upgrading to Office 2007 on a Windows XP Machine…

When I first install Office 2007 on my home XP machine was my inability to search in my outlook and OneNote programs. Microsoft every move the search functions from within office and require that you install Windows Desktop Search utility. Even though this utility was free it was a surprise when I tried my first search in my mail folder and nothing showed up. After I installed the search utility could well for it to index everything that was on my system. However, once everything was installed I was very impressed with its speed and accuracy. Not only was everything indexed and crossed index by application type, I was able to choose under which I wanted to search and limit the results for. Very nice! For more information visit:

http://www.microsoft.com/windows/products/winfamily/desktopsearch/choose/windowsdesktopsearch.mspx

Even if you don't upgrade to Office 2007 and are still using an earlier version, having a full text search function in your system is a great help. Here's where you can download your free copy of WDS 3.01:

RSS stands for really simple syndication, and when you step back and really has a very simple way to gather information that you are interested and without having to search to search for all the new publications that are published daily by literally millions of different individuals add a new companies onto the Internet. Here is Microsoft's explanation of RSS feeds in Outlook:

Really Simple Syndication (RSS) is a way for content publishers to make news, blogs, and other content available to subscribers. You can view RSS content in Microsoft Office Outlook 2007. Using RSS, publishers can make content and updates available for download by subscribers automatically. The content on all Web sites is not available as an RSS Feed, but the list is growing daily.

How does RSS work in Microsoft Office Outlook 2007? - RSS readers, such as the one built into Office Outlook 2007, allow you to subscribe to RSS Feeds and then read content or follow links for additional information. Whenever you see a link to a feed, or an RSS icon such as the one at the top of this page, just click. Microsoft Office Outlook 2007 will automatically subscribe you to that RSS Feed.

Get started - Using Microsoft Office Outlook 2007 to subscribe to an RSS Feed is quick and easy and does not involve a registration process or fee. After you subscribe to an RSS Feed, headlines will appear in your RSS folders. RSS items appear similar to mail messages. When you see a headline that interests you, just click or open the item. For more information, read how to add an RSS feed to Microsoft Office Outlook 2007 and how to read your subscribed RSS feeds. Below is a sample of the many feeds you can subscribe to from around the world. Click on the links that interest you and Outlook will subscribe to them.

To take advantage of capability all you need to do is add a new News Source to your RSS Feed List. Right click on the RSS feeds folder and choose add a new RSS feed. The dialog box will appear on screen that you need to enter the address of the RSS feed that you want to subscribe to. The easy way to get this information is to browse to the hosting site that has the information that you are interested in and click on the subscribe to RSS feed hyperlink that will be located on that page is there it is and RSS feed subscriptions option available.

rssfeedpic

When you press this choice and new page will appear in your browser. Copy the URL to the clipboard and jump back to your open outlook dialog that is requesting the URL of your RSS feed. Paste it into the field and then press the add button to add it to your list. The next time outlook downloads new mail it will also download any new RSS feeds as well.
